Processing PTO Approver Reassignments

You can reassign the PTO approver for multiple employees at once using the PTO Approver Reassignment form.

Note: This feature is available for service providers, worksite managers, and worksite trusted advisors. However, worksite managers and worksite trusted advisors can only access and reassign employees that they are allowed to access.

The filtering options in this form allow you to find employees based on specific criteria related to the employee's current PTO approver ID and current PTO approver.

To reassign a PTO approver for multiple employees:

1. From HR|Action, select PTO Approver Reassignment.

Set the filters for the employee search, then select Find Employees to list all employees who meet the criteria.

Note the following:

If you enter or select a PTO Approver, the Unassigned PTO Approver Only field no longer displays.
If you select Unassigned PTO Approver Only, you cannot enter or select a PTO Approver. (The system dims the PTO Approver field.)
If you terminate a manager and select Yes to reassign their employees, the system automatically opens the PTO Approver Reassignment form where that terminated manager displays in the PTO Approver field. (Note: This form still opens for users even if their access is set to Deny for the PTO Approver Reassignment form, where they can process a reassignment.)
Select Employees

In the list that displays, either choose all employees by selecting the box under the Select Employees header or select each employee individually.

Note: The system sorts the list of employees by Last Name, with the First Name as a secondary sort in case there is more than one employee with the same last name.

Assignment Options

Enter or select the Reassign To PTO approver. If you select Reassign To, a list of all active employees for the client displays.

Note the following:

If you leave the Reassign To field blank and click Update Assignments a warning displays, "By leaving employees unassigned they will not have a PTO Approver listed on their Employee Details. PTO approvals could be missed without having an assignment in place. Do you wish to continue?" Select one of the following:
Yes: The system updates the employee record and clears or leaves the employee ID blank.
No: The PTO Approver Reassignment form continues to display, so you can make updates.
Service providers can enter a worksite trusted advisor's user ID (who has access to the client) as the PTO Approver for the selected employee in the Reassign To field. (You can select current worksite trusted advisors assigned as a PTO Approver from the Select Employee list.)
2. Click Update Assignments. A message displays that the PTO approvers were updated for the selected employees. For example, "2 employee(s) were updated."

Note: After completing the reassignment, the system updates the PTO Approver field on the Work tab in the Employee Details form and in the audit log.
